  1. yes, the board approved a plan with a budget—estimated expenses, including mailing, meetngreet and po box.
  2. yes po box is on high street, opposite giant eagle and next to flower shop and chinese restaurant—we had six month lease, which has certainly run out if not renewed.
  3. we spent about eight hundred i think—400 for stamps and fou hundred for copying—though my memory is not certain on this.  the budget/plan expenses were turned over to boatd on my resignation and all details should be there. Probably  Gwen would have receipts that were reimbursed possibly, and carmen the records for payments. i think the whole budget was under 1000.

I have not been able to find any of my notes from last year’s nominating committee meetings.  I deleted all of my coop-related files.  So, the only materials that exist are what I officially submitted to the board.  I do recall one big oversight from last year that you should be warned about – make sure qualifications for candidacy are clear and in compliance with the bylaws!  We assumed last year that by now our new bylaws would have already been voted in and the ambiguity would no longer be an issue.  Depending on how the bylaws are progressing, this may still be a problem.

I have only received one invoice for $61.00 for the PO Box. That was on 09/24/10 and paid to Erin Publow.

I’m concerned that we are lacking candidates! Any suggestions? I asked several people today (at Finance Cmte meeting) to be on the lookout for potential candidates. Greg Pace would be interested in being a candidate but can’t do Tuesday evening meetings. Can we be open to considering another evening for Board meetings??
How about putting a couple more requests for candidates on the member forum? Perhaps one per week for the next couple weeks, or perhaps starting a discussion about this… What do you think?

 
 

It might help to send another notice out to all member owners via email about the member forum and a note about becoming a candidate could be included. It’s possible that there will be new members who are interested in signing up for the member forum and then who will subsequently be interested in becoming candidates.

I’m not opposed to you writing something about this to the member forum, I just think there will be few, if any, responses.

 
   

According to Article 3.3 of the bylaws: “Written notice stating the time and place of any meeting of members shall be mailed or delivered to the last known address of each member. Notice shall be delivered not less than thirty (30) or more than ninety (90) days before the date of the meeting…”

So, if the annual meeting is October 29, the last Saturday in October, then we have to have the notices delivered by September 29 and mailed at least 3 or 4 days before that. The September Board meeting is September 27, so if the Board needs to agree on a date/time/place for the annual meeting, then it needs to be done at the August meeting this Tuesday(!!!), right? At the meeting on Tuesday, I’m going to suggest that we add this to the agenda and I will propose to have the meeting on October 29, 2011 from 2-4pm at the CRC (or the next available place).
